6 Tips on Working Remotely

Government Procurement Intelligence Record

Remote workers are not only happier at work, but they’re 13% more likely to stay at their current job for the next 5 years than their onsite counterparts. We know we are all living in unexpected times and adjustments must be made to mentally survive, physically survive and also survive professionally in business. Here are a few steps that our team at GovPurchase, have been living by while working remotely.

1. Ramp Up The Communication

2. Schedule Regular Meetings

3. Hold Yourself Accountable

4. Control your schedule – Stay Busy

5. Respond Promptly

6. Be Incredibly Detailed

Ramp Up Communication

Here’s one fairly obvious fact: If you work remotely, you won’t have that daily face to face interaction with your supervisor and co-workers. Sure, this might not be the worst thing since we should all be practicing social distancing right now, but you should always keep a clear line of communication so that they can reach you. Your absence in the office means that you can’t quickly ask your desk-mate how to do an Excel formula or run down the hall to consult with your supervisor about a tricky client email. It also means that you’re not there to answer others’ questions either. This is why an open line of communication is very crucial. When you don’t work in the same space with your colleagues every day, you need to ramp up communication. Here are some tips to increase the communication of your team:-Find a messenger everyone in the office can use, like Skype or Google-If you don’t have a home office phone, make sure your cell phone is always charged-Make sure you a strong WiFi connection at home-If you plan to be unreachable for a long period of time, make sure you let your team know.

Schedule Regular Meetings

Schedule check-in calls every once in a while with the rest of your team to ensure everyone is on the same page and all team members know what each other is working on. Our team at GovPurchase has a morning phone meeting every morning before we start the workdays. We discuss the previous week and set a goal for the upcoming week. These meetings are also a great way to give project updates and see if anyone needs any help with projects they are working on. Many bosses are concerned about how a remote employee’s rapport will be with the rest of the team, so this is a good way to say, “I’m a team player!”Whether it’s an hour every other week or a half-hour every week, you need to set aside time so you can touch base with your team and make sure to use this time wisely. Before each meeting, come prepared with updates on your work and any questions or concerns you might have.

Hold Yourself Accountable

Missing a deadline when no one can see you is one thing. Having everyone stare at you in the conference room because you messed up is a whole different ball game. It’s a lot easier to get distracted at home. Piles of laundry taunt you and resisting cuddling with a pet is near impossible. You should always be an accountable human being and the pressure really gets cranked up when you work remotely. Keep yourself organized with an old fashioned checklist of there are plenty of programs you can use to stay organized. We use a program called Tello in our office, you should check it out!

Create A Schedule For Yourself – Stay Busy

Another tip is very similar to the above tip, “Hold Yourself Accountable”. We shared with you a program we use to make sure we don’t miss anything important. There are also a plethora of great programs you can use to create a daily schedule for yourself so you don’t waste any time during work hours. The best way to stay busy is to make sure you have work to do. Running out of work to do? Well, we have the answer for you! Create new great opportunities for yourself, your team and company with our GovPurchase tool. We are the largest tool in government contracting. We help you find all of the new solicitations and the expiring contracts so you can be ahead of your competition. Our tool is a cloud-based tool you can use it from anywhere.

Be Incredibly Detailed

Emails or chat messages are not the only places you should include details. If you and your team use a CRM system, you’ll want to provide all relevant pieces of information with each update you make. Having all of the information in one place is really helpful for everyone (including yourself!). This type of tool can be vital for remote teams. When the whole team is detailed, every single team member can stay in the know and will have everything they need to carry out their responsibilities, no matter where they log on from or what time zone they’re in.

Respond Promptly

Because you won’t be in the office, your boss may be concerned that you won’t stay on task. And yes—I know. It’s just as easy to get distracted and hinder your productivity in the office but being in the comfort of your own home is very different. Now, some people would object and say they thrive in there homework environments and feel hindered at the office but a larger percentage of people believe working at home is way too distracting.

We say all this to say, make sure you are period checking your email and chat window so that you don’t miss anything important and lose the trust of your team. Every single email may not require a response—plenty can go without one, and everyone’s inbox will thank you, but if someone messages you asking for something, you do need to respond within a reasonable time frame. Otherwise, your team is going to assume that you’ve gone silent and are skipping out on your responsibilities.

We hope you find success during these times, we know it’s difficult and unexpected but we will thrive during this time and come out of it stronger.
